E-Mail Time Saver Tips

Not many would argue that e-mail management is a big time waster.  It’s necessary to stay on top of it, though, or else it piles up and becomes overwhelming.

But what if there were far fewer e-emails to begin with?

There would be if it weren’t for the indiscriminate use of  “Reply All.”  E-mail volume would drop suddenly and significantly were offices to outlaw “Reply All” or at least use it sparingly.  Here are two things you can do:

1.  Adopt time-saving protocols, such as adding an I, A, or R to the subject line of every e-email sent out to indicate whether the e-mail requires an action, a reply, or purely informational.

2.  Download a NoReplyAll Outlook add-in that eliminates Reply All and Forward options to email you send from Outlook.

Pace Yourself

Sometimes, when you look back over your day, you’ll find yourself focusing on what you didn’t get done.  That’s not helpful.  There is rarely enough time in a day to get everything done.  The best thing to do is to prioritize and pace yourself.  Even a marathon runner has to rest and refresh to keep going.

The early days in business are the toughest.  Every health professional says we need to get seven to eight hours of sleep a night.  But in the early days, while you are working your job and your business, a full night’s sleep will be a luxury.  Owning a business is great, but in the beginning it might own you.  You have to fight the tendency of the business to take over your life.

In a way, owning a business is like being in a marriage.  In business and in marriage, you can get lax about the fundamentals, whether it’s remembering to send flowers to your spouse or using monthly financial statements in your business.

Your business and your family will compete for your time and attention. Whenever you are, be present there.  Do not be the parent on the ball field looking at your BlackBerry.  The ups and down of balancing your life and your work will sometimes have you turning yourself into a pretzel.  But when you get that first sale, when you make enough profit to pay yourself, sharing that moment with your family will be priceless.

Know What’s Important


Know what’s important and make time for yourself! Below are helpful tips on how to manage your time better:

  • First and foremost, get your rest! The more rested you are, the more you can accomplish in a shorter period. If you’re tired, you’re usually slower, rework more and end up even more exhausted. Take care of yourself!
  • Become a champion at minimizing the work you take home. Leave enough time to recharge your battery.
  • Go to lunch at 11:00 AM or 1:00 PM to save time both in the line and the time that it takes to get your food. Going to lunch at noon will conservatively cost you at least 15 minutes a day.
  • * Start our day the night before! Update your task list and calendar and put items needed for work the net day in your car the night before.
  • Accomplish tasks electronically. Pay your bill, buy your postage, order groceries online.
  • Worry is a time and energy robber. It’s natural to worry, but you can shorten the time between when you start worrying and when you begin doing something about it.

Fill Your Time Profitably and Productively

Working hard when you are not being encouraged with an electric cattle prod is a bit like working for yourself.  You have to be motivated, dedicated, and focused.  It takes practice and training.  We all like to goof off.  And that’s fine every now and then.  We all need thinking time – downtime.  It is important, though, not to overdo it.  Don’t let the time bandits come in and steal a whole day.  You get your head down and get the work done – fast, and effectively and efficiently.  Then try to do some work on your long-term goals, your game plan, and your business education (don’t just sit and stare out the window – read something).

Set little deadlines.  Make short list so you can cross off lots and feel good about what you’ve done.  Get loads of fresh air, or you’ll sleep too much.  Don’t drink alcohol at lunchtime, or you’ll
